Give each painter the same surface list
Give each contractor one version of your project list. If the scope changes after the first visit, tell the other bidders too. Otherwise a price comparison may reward a proposal that simply includes less work.
Name the rooms or elevations and mark surfaces to keep untouched. Explain visible damage and your preferred result. Photos can help a later discussion, but a photo alone cannot establish every preparation need.
A side-by-side painting quote worksheet
| Item | What to record |
|---|---|
| Surfaces | Exact rooms, elevations and parts |
| Repairs | Included defects and treatment |
| Uncertain conditions | Allowance, exclusion or further assessment |
| Cleaning and preparation | Specific work before coating |
| Primer | Where needed and which product |
| Finish system | Product line, sheen and application specification |
| Colors | Approved schedule and change process |
| Protection | Belongings, fixtures and adjoining surfaces |
| Access | Heights, work windows and moving responsibilities |
| Changes | Approval and pricing process |
| Completion | Cleanup, inspection and remaining-item list |
| Care | Product record and return-to-use guidance |
Mark an item unknown if it is not explained. Do not treat a blank as included.
Read product, coat and repair descriptions
“Premium paint” does not identify the product. “Two coats” does not explain the base condition, primer, coverage or whether the proposed system suits the surface.
Sherwin-Williams application guidance makes product instructions and conditions central to the method. Ask the bidder to specify the actual system and expected finish. Compare like with like rather than treating one phrase as a universal quality guarantee.
Resolve exclusions before choosing
An exclusion can be reasonable when it is clear. For example, a painter may price cosmetic preparation while excluding unresolved water damage. The problem is discovering that boundary after work starts.
The Arizona Registrar of Contractors advises checking the business and getting the work in writing. Confirm payment stages, who approves changes and how you will inspect completion.
Use the cost guide for budget context, or request a quote to begin your own project comparison.
